Choose dimensions from the receiving organisation
“Passport photo” is a common description, not one universal size. Different applications and institutions can have different dimensions, background requirements and framing rules. Read the instructions for the exact application before making a sheet. Our photo-sheet tool is a layout aid; it does not certify that a photograph meets official requirements.
Prepare the images before arranging them
Use sharp, evenly lit originals with the required background. Leave appropriate space around each head according to the relevant instructions. The Passport photo sheet can place photographs of different people on one A4 sheet. Choose a crop focus for every selected photo: centre, top, bottom or fit. It does not detect faces or adjust backgrounds, so inspect every preview before printing.
Make an A4 sheet
Select up to twelve photos, choose the required dimensions and select four, six, eight or twelve sheet slots. “Use each photo once” places different people into separate slots. “Repeat to fill sheet” cycles through the selected people until the chosen number of slots is filled. You can also add a thin black, grey or coloured cutting border. The downloaded PDF preserves the intended physical dimensions when printed at its actual size.
Use the correct printer settings
Open the PDF in your usual reader, select A4 paper and choose “Actual size” or a scale of 100%. Options called “Fit”, “Shrink oversized pages” or borderless expansion can alter the photo dimensions. If your printer offers a preview, inspect it before continuing. The precise option names vary between printers and PDF readers.
Measure one test print
Before using expensive photo paper or printing many sheets, make a single test print. Measure the width and height of one photo using a ruler. If a selected 35 × 45 mm photo is not that size on paper, check the scaling settings again. Also check that the printer is using the same paper size as the PDF.
Check quality before cutting
Look at the finished sheet under ordinary light. Faces should be clear, skin tones should look natural and the photo should not have visible streaks. Pick the paper and print-quality settings suitable for your printer and the receiving organisation. Let the ink dry fully before handling, stacking or cutting the sheet.
Keep the right files
Keep the original image, the selected dimensions and the final sheet so you can reproduce the same result. On a shared print-shop computer, remove personal copies when the job is complete. If an organisation changes its requirements, prepare a new sheet from the original rather than stretching or scanning an old print.
